Privacy notice

What we hold, and what you can do about it.

This notice covers the marketing records kept by Aruga Media. It describes what is actually in our system, not everything a company might one day collect.

Who is responsible

Pro-hacker Limited decides how your details are used.

Aruga Media is a lead generation project run by Pro-hacker Limited to promote the services of Aruga Cyber. The organisation responsible for your details (the "controller") is Pro-hacker Limited, registered in England and Wales as PRO HACKER LIMITED, company number 15677224, registered office Piccadilly Business Centre, Blackett Street, Manchester, M12 6AE.

What we hold

Mostly facts about organisations. A little about people.

About an organisation

  • Its registered name, company number, registered address, status and type of business, from the Companies House register.
  • Its size, where its published accounts state it.
  • Its website, and public technical records about its email domain.
  • Recent public filings, such as a change of ownership or directors. We record that a filing was made. We do not record the names of owners.
  • A score, worked out by fixed rules, of how relevant Aruga Cyber's services are likely to be.

About a person who works there

  • Name and job title.
  • Business email address and business phone number.
  • The address of a public professional profile, where there is one.
  • The kind of role held, for example owner or IT manager.
  • Where each detail came from and the date we collected it.
  • The emails we have sent, any replies, and whether the person has asked us to stop.

What we do not hold

  • Home addresses, personal email addresses or dates of birth.
  • Anything about health, beliefs, politics or other sensitive matters.
  • Lists bought from consumer data sellers.

Where it comes from

Public business sources, and you.

  • The Companies House register, including its list of company directors. From that list we copy a director's name and the word "Director". We do not copy the month of birth, nationality, country of residence, occupation or address that the register also publishes.
  • The organisation's own website.
  • Public professional profiles and other public business sources. Every record carries a note of its source.
  • Anything you tell us yourself when you reply.

When we collect a person's details from somewhere other than that person, we tell them within one month and point them to this notice.

Why we hold it

To decide who to write to, and to stop when asked.

  • To work out which organisations Aruga Cyber's services may be relevant to.
  • To write to people there, in their business role, about those services.
  • To keep a record of what we sent and what was said in reply.
  • To introduce an organisation that is interested to Aruga Cyber.
  • To make sure someone who has asked us to stop is not contacted again.

The legal basis is our legitimate interest in telling businesses about services that may help them. We have weighed that against the interests of the people we write to, which is why we use business details only and stop as soon as we are asked.

Organisations are scored by fixed rules. A person, not the system, decides whether anyone is contacted. Nothing here makes a decision about you as an individual.

Who sees it and where it is kept

A small team, on private servers in the European Union.

  • Staff of Pro-hacker Limited, who run the system.
  • Aruga Cyber Ltd, once you have told us you want to hear more about its services. Aruga Cyber is then responsible for what it does with those details.
  • The companies that host the servers and the mailboxes, which store the data but do not use it.

We do not sell your details and we do not pass them to anyone else for marketing.

The records are kept on servers in the European Union. The system that holds them is not open to the public internet.

How long we keep it

Two years from our last contact, then it is deleted.

We keep a person's details for up to 24 months after our last contact with them or their organisation, then delete them.

If you ask us to stop, we delete what we do not need and keep your name and email address on a do-not-contact list, so that we do not add you again by mistake.

Your rights

Ask, and we will act.

  • Object to marketing. We will stop, without asking why.
  • See what we hold about you and where it came from.
  • Have it corrected if it is wrong.
  • Have it deleted.
  • Ask us to pause using it while a question is settled.

If you are unhappy with how we have handled your details, you can complain to the Information Commissioner's Office at ico.org.uk.
